Purchase Manager Assistant

  • Job Description:

  • As a Purchase Manager Assistant, you will play a vital role in supporting our procurement operations, ensuring the smooth and efficient functioning of the purchasing department. You will collaborate closely with the Purchase Manager to streamline procurement processes, monitor inventory levels, and maintain effective communication with vendors. The ideal candidate will be proactive, resourceful, and possess excellent communication and negotiation skills.


    Key Responsibilities:


    Vendor Management:


    Assist in identifying and evaluating potential vendors and suppliers.

    Maintain strong relationships with existing suppliers and negotiate favorable terms and agreements.

    Collaborate with vendors to resolve any issues related to product quality, delivery, or pricing.


    Purchase Order Processing:


    Generate and process purchase orders accurately and in a timely manner.

    Track and monitor order status to ensure on-time delivery and address any delays promptly.

    Work closely with the finance department to reconcile invoices and resolve discrepancies.


    Inventory Control:


    Monitor and maintain optimal inventory levels to meet production and operational needs.

    Conduct regular stock assessments and collaborate with other departments to forecast future requirements.

    Implement inventory management best practices to minimize carrying costs and maximize efficiency.


    Market Research and Analysis:


    Stay informed about market trends, pricing, and new product developments.

    Conduct market research to identify potential cost-saving opportunities and alternative suppliers.

    Provide insights and recommendations to the Purchase Manager for strategic decision-making.

    Documentation and Record-Keeping:



    Maintain accurate and up-to-date records of purchases and agreements.

    Prepare reports on procurement activities, cost savings, and supplier performance.

    Ensure compliance with company policies and relevant regulations.


    Qualifications and Skills:


    Bachelor's degree in Business, Supply Chain Management, or a related field.

    Proficient in English, French, Kinyarwanda

    Strong analytical and negotiation skills.

    Excellent communication and interpersonal abilities.

  • Detail-oriented with a high level of accuracy.
